Event Templates

You can find a summary of the event templates below, which can only be added in the “Reports” tab of the event inspector.

Production Sheet§

  • A production sheet (also call sheet or script) is an overview of the details of an event or event group. It’s printed and subsequently used by human resources on the work floor to instantly view contact details, resource bookings, schedules etc. View an example.
  • This report only works if the corresponding custom data fields are present in the installation. This is why we don’t offer it as a download.

If you would like more information about this report, contact your Customer Success Manager. They will gladly help you set up your installation to suit the production sheet or alter the production sheet to suit your needs.

Quote§

  • This template can be used to create a quote for the hire of a hall. It contains an overview of rosters, resources, locations, human resources and their prices, among others. View an example.
  • This report only works if the corresponding custom data fields are present in the installation. This is why we don’t offer it as a download.

Sales Prices of Booked Resources§

A table with the booked resources per event or event group and the quantity, price, VAT rate and so on per resource.

Structure:

  • The rows are booked resources grouped by resource group, event and event group.
  • The columns are the various aspects of the sales price: sum totals for quantity, price unit, sales price excluding VAT, VAT rate, VAT amount and price including VAT.
  • The cells contain values for the sales price.

Remark

  • If you override the price at a certain level, then the price won’t appear on the lower levels.
  • Ad hoc resources appear with a white letter A on a green background, for placeholders this is a white letter P on a red background, and for external resources this is a white letter E on an orange background.
Parameter Description
Show Actual Values Determine whether or not planned or actual values will be displayed in the document. “Yes”: The cells contain actual values. “No”: The cells contain planned values.
Show Details of the Set Determine whether or not the resources of a set will appear in the document. “Yes”: The resources of a set appear in the document. “No”: Only the set is displayed, without the individual resources in that set.
Show Only To Be Billed Determine which resources will be displayed in the document. “Yes”: Only resources marked as “To Be Billed” will be displayed. “No”: All booked resources will be displayed, without taking account of the “To Be Billed” field.

Events in Group§

A table containing the events in an events group, per date and per location.

Structure:

  • The rows are days.
  • The columns are locations.
  • The cells are events, each with their displayed start time and displayed end time.
Parameter Description
Title The title that appears in the document.
Statuses (*) Filter events in the group according to their status.
Profiles (*) Filter events in the group according to their profile.
Order Determine the order of the locations in the document. They appear as columns.
Canceled Select statuses that you use for canceled events. Events with such a status will be crossed out with a horizontal line in this document.
Show Unavailabilities Determine whether or not unavailabilities will appear in the document.

(*) Leave the parameter blank if you don’t wish to filter on this property.
